We can offer you a position in the heart of the Arla Foods Ingredients´ business as our Management Assistant. Your primary work location will be at our Head Office in Viby J, Aarhus. This position is a 12-14 months maternity cover.
How you will make an impact
As our Management Assistant, you will navigate in a setup spanning three functions: Supply Chain Operations, Human Resources, and Business Excellence & Compliance. You will be exposed to a fast paced and demanding job in a dynamic environment, where you will handle many different tasks for the three AFI leadership team members, but mainly the VP in Supply Chain, such as:
- Manage calendars and mails, coordinate business trips, and keep track of expenses
- Align communication with key stakeholders enabling
- Shape and drive agendas for meetings. Write minutes and ensure follow-up on action logs
- Plan leadership team meetings – from brainstorming topics to ordering catering
- Keep track and drive follow-up on year wheels, business plans, and processes
- Organise bigger employee events
- Prepare materials e.g., drawing up presentations for business board meetings
- Prepare internal communication on various topics
- Onboard new employees
- Contribute to ensure our Head Office is a great place to work

Structured and service-oriented with high integrity
We imagine you bring some years of experience from administrative roles where you have been used to coordinating and working on several agendas and initiatives simultaneously. It is important you have a good understanding of the interdependencies in a company with many different departments.
As a person, you are energised by helping others, and you understand the need to be service-oriented and collaborative. With your self-driven and structured approach, you can prioritise your own time, getting things done in a logical order, on time, while still planning ahead.
You are comfortable working closely with senior stakeholders, and not afraid of voicing your own opinions yet demonstrate a high level of integrity as you will spar with the Leadership Team on sensitive matters and be handling confidential information.
Finally, you have good analytical and communication skills, both verbally and in writing. You are skilled using Microsoft Office, particularly PowerPoint, Excel, and Word. Further, you embrace and encourage more digital ways of collaborating between colleagues. Finally, you are proficient in written and spoken Danish and English.
